Things to look for when considering a new multi-function copier:

 Many companies now choose either digital black and white copiers or color copiers that have many features over older copiers. There are many reasons for this.  One, multi-function copiers are less noisy than analog (older type copiers).  Two, they have fewer mechanical problems because there are not as many parts.  Three, they reproduce very fine lines and pictures much better.  Lastly, there is not much difference in price between the copiers that have similar features.  It is easy to learn how to operate digital copiers with just a little training.

 Let’s look at some things to consider when making your decision to buy a copier.  You will need to have a good idea on the amount of copies you make per month as well as the speed of the copier, and whether color copying is a requirement.  These are some guidelines you can follow to determine whether a smaller copier will work for you and your business or if you need a more sophisticated commercial grade copier.  As expected, when going with a more advanced machine, you will see more expense, however, you will also have more copier speed and many more options to make business easier for you.

 Digital multi-function copiers can use modules to combine the functions of copiers, printers, scanners and fax machines.  Add-ons, as we like to call them, are modules that support special functions.  They are sold as add-ons giving you the option of adding functionality to your copier.  There are various ways machines can be upgraded.  It can be simple or more in depth depending on your needs.  Inquire about the different ways your machine can be upgraded prior to making any concrete decisions.  For example, an all in one inkjet printer that has scanning options, would be a small expense that can go with your black and white digital copier if that is what you have and the need to make a lot of color copies is not a necessity to you and your business.

 Hybrid copiers are a very good choice when there is a need for some printing and copying done in color.  It is a good choice as it will save you money on supplies when you switch between black and white and color modes.     

 The cost of copier consumables (toner and color toner, paper, fuser oil and developer) are very important when considering the purchase of a copier.  Color copiers are more expensive due to the color toner and type of paper used.  Toner needs to be mixed with the developer so it can properly adhere to the paper.  Most color copiers will need a separate developer for each toner color to be used.  Fuser oil is needed for the last step in laser copying.  Fuser oil does last longer then a bottle of developer and it is as much a need as the developer to make bright, colorful copies. Black and white copiers are less expensive, but with color copiers, you obviously have more choices.

 When purchasing a copier, you will need to consider buying or leasing a machine.  Ultimately, leasing will cost you more down the road but it should be considered if you do not want to pay out one lump some of money at once.  By purchasing a machine outright, you can possibly get a deeper discount and be able to negotiate the price depending on the make, model etc.  Also, service contracts can be discussed when finalizing the price of the machine.  All of these factors need to be taken into consideration when purchasing a new machine.  Be sure to do your homework, figure out your needs and wants for your particular business and do not be afraid to ask questions.
